Job Summary

A growing hospitality establishment is seeking a highly organized, professional, and proactive Executive Assistant to support the Director in managing daily administrative and operational responsibilities. The ideal candidate will be detail-oriented, trustworthy, and capable of handling confidential matters while ensuring smooth coordination of schedules, meetings, communication, and office operations.

This role requires strong multitasking skills, professionalism, and the ability to work in a fast-paced hospitality environment.

Key Responsibilities

Executive & Administrative Support

  • Manage the Director’s calendar, appointments, meetings, and travel arrangements.
  • Prepare meeting agendas, reports, presentations, and correspondence.
  • Take meeting minutes and follow up on action points.
  • Screen calls, emails, and visitors on behalf of the Director.
  • Maintain organized filing systems for confidential and operational documents.

Office Coordination

  • Coordinate communication between departments and external stakeholders.
  • Support planning and execution of internal meetings and events.
  • Monitor office supplies and administrative requirements.
  • Ensure smooth day-to-day office operations within the executive office.

Communication & Guest Relations

  • Handle professional communication with clients, suppliers, and partners.
  • Assist in responding to customer concerns and escalations where required.
  • Maintain a high level of professionalism and customer service.

Reporting & Documentation

  • Prepare weekly and monthly administrative reports.
  • Track tasks, deadlines, and operational follow-ups for the Director.
  • Maintain accurate records and documentation.

Requirements

Qualifications & Experience

  • Diploma or Bachelor’s Degree in Business Administration, Hospitality Management, Secretarial Studies, or related field.
  • Minimum 2–4 years’ experience as an Executive Assistant, Personal Assistant, or Administrative Officer.
  • Experience in hospitality, hotels, or service industry is an added advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
