JOB TITLE: PRODUCT DISPATCH OFFICER

Job summary:
The Product Dispatch Officer is responsible for the accurate, efficient, and professional release
of company products from the store to customers and distributors. This role is critical in ensuring that every customer interaction at the store reflects the company’s standards of professionalism, accuracy, and excellent service. The officer serves as the final
point of contact between the company and the customer during product collection.
The role requires a highly trustworthy, detail-oriented, and people-friendly individual who can
manage store operations while delivering a positive customer experience
DUTIES & RESPONSIBILITIES:
1. Product Dispatch & Store Operations
· Receive, verify, and process product dispatch requests/orders
· Accurately pick, pack, and release products to customers and sales agents
· Ensure all dispatched items match system records and invoices
· Maintain proper documentation of all product movements
· Monitor stock levels at the store and report shortages or discrepancies
· Ensure the store is well-organized, clean, and professionally arranged
2. Customer Service & Experience
· Serve customers with professionalism, courtesy, and efficiency
· Guide customers during product collection and answer basic inquiries
· Handle customer concerns calmly and escalate where necessary
· Ensure every customer leaves satisfied and confident in the service received
3. Inventory Accuracy & Record Keeping
· Update records using Excel and company systems accurately
· Track daily dispatches and reconcile with system reports
· Support stock counts and periodic inventory verification exercises
· Report any inconsistencies, damages, or losses immediately
4. Coordination & Reporting
· Work closely with the Country Manager on daily store operations
· Coordinate with the Accountant/Warehouse Officer on stock control and reporting
· Follow company procedures for approvals, documentation, and dispatch processes
· Submit daily dispatch reports
5. Systems & Data Management
· Use Microsoft Excel for tracking inventory and dispatch records
· Operate company systems for order processing and reporting
· Ensure data accuracy and timely updates in all systems
KNOWLEDGE, SKILLS, AND EXPERIENCE:
1. Bachelor’s degree in business, Logistics, Accounting, or related field
2. Experience in store management, dispatch, or customer service is an added advantage
Technical Skills
· Proficiency in Microsoft Excel
· General computer literacy (data entry, system use, reporting)
· Ability to quickly learn and use company systems
