Sentinel Africa Group is a regional professional services group with operations across Kenya, Rwanda, and Uganda. The Group provides consulting, training, technology, and resilience-focused solutions in areas such as information security, data protection, business continuity, enterprise risk management, software development, and executive advisory.

As the Group continues to grow across the region, we are seeking a sharp, discreet, highly organized, and proactive CEO’s Aide to support the Group CEO in driving execution, coordination, communication, and strategic follow-through across multiple entities and initiatives.

Role Purpose

The CEO’s Aide will work closely with the Group CEO to ensure that priorities are tracked, meetings are well-prepared, decisions are followed through, and key projects move forward. This is a high-trust role requiring maturity, confidentiality, excellent communication, strong organizational ability, and the capacity to operate in a fast-moving entrepreneurial environment.

The role is ideal for someone who is ambitious, polished, disciplined, intellectually curious, and able to work across strategy, administration, communication, coordination, and stakeholder management.

Key Responsibilities

1. Executive Support and Coordination

  • Manage the Group CEO’s calendar, appointments, meetings, travel, and daily priorities.
  • Prepare meeting briefs, agendas, minutes, action trackers, and follow-up notes.
  • Ensure the CEO is well-prepared for internal and external engagements.
  • Track commitments made by the CEO and ensure timely follow-up with relevant teams.

2. Strategic Follow-Through

  • Support the CEO in tracking key strategic initiatives across Sentinel Africa Consulting group and related subsidiaries interests.
  • Maintain dashboards, task trackers, decision logs, and priority lists.
  • Follow up with department leads, project teams, and external partners on agreed actions.
  • Help convert discussions into clear actions, timelines, and accountability.

3. Communication and Stakeholder Support

  • Draft emails, letters, memos, proposals, briefing notes, and presentations on behalf of or for review by the CEO.
  • Coordinate communication with clients, partners, regulators, consultants, vendors, and internal teams.
  • Represent the CEO’s office professionally in all interactions.
  • Maintain confidentiality and discretion in handling sensitive business information.

4. Research and Business Intelligence

  • Conduct background research on clients, markets, opportunities, competitors, partners, and emerging business areas.
  • Prepare short summaries, briefing papers, and decision-support notes.
  • Support the CEO in preparing for pitches, board-level discussions, partnership meetings, and strategic engagements.

5. Administrative and Operational Support

  • Organize CEO office records, documents, contracts, contacts, and key correspondence.
  • Coordinate logistics for meetings, workshops, travel, events, and executive sessions.
  • Support internal reporting and coordination across group entities.
  • Help improve systems, routines, templates, and workflows around the CEO’s office.

Requirements

Required Qualifications

  • Bachelor’s degree in Business Administration, Management, Law, Communications, International Relations, ICT, or a related field.
  • 2–5 years’ experience in executive support, consulting coordination, project coordination, administration, operations, or a similar role.
  • Excellent written and spoken English.
  • Strong proficiency in Microsoft Office or Google Workspace, especially Word, PowerPoint, Excel, Outlook/Calendar, and collaborative tools.
  • Ability to prepare professional documents, reports, presentations, and executive summaries.

The ideal candidate should be able to:

  • Use AI tools such as ChatGPT, Microsoft Copilot, Gemini, Claude, or similar platforms to support drafting, summarization, research, brainstorming, meeting preparation, and document improvement.
  • Prepare executive summaries, briefing notes, email drafts, meeting minutes, proposal outlines, and presentation content using AI-assisted workflows.
  • Use AI responsibly, with strong judgment on confidentiality, data protection, accuracy, and professional review before sharing outputs.
  • Work comfortably with productivity tools such as Microsoft 365, Google Workspace, Notion, Trello, Asana, ClickUp, Teams, Zoom, Canva, or similar tools.
  • Learn and adopt new digital tools quickly.
  • Support the CEO’s office in creating smarter workflows, templates, trackers, dashboards, and automated routines.
